Separate attended checkout from the wash controller.
Review detailing invoices, unattended readers and recurring memberships as distinct systems. Confirm the installed controller and supported payment route before replacing a terminal or processor.

Start with the actual operating problem.
A detailing desk can collect against an appointment; a tunnel or timed bay also needs an equipment-control decision. Identify what starts the service, which payment status allows it and who handles a payment that completes without the wash starting.
Membership billing and access require their own validation. Name the system that owns entitlement, enrollment and cancellation. Confirm failed-renewal behavior and supported migration options before assuming membership credentials move with a new provider.

Confirm the requirements in writing.
| Decision | What to confirm |
|---|---|
| Operation type | Distinguish attended detailing, tunnel entrance, self-service bay and other unattended equipment. |
| Controller connection | Confirm exact controller/reader models, transaction sequence and installation responsibility. |
| Membership access | Test enrollment, failed renewal, plan change and cancellation against the access decision. |
| Reconciliation | Separate counter, unattended and recurring collections, corrections and deposits. |
Use a review sequence with a named owner.
- Inventory the installed equipment and identify each collection channel.
- Obtain written controller/reader support confirmation from the responsible vendors.
- Test declined payment, payment without service start, interrupted connection and refund.
- Agree support ownership and verify the first lane and membership reconciliation.

Identify the operation before comparing terminals
Describe whether customers pay an attendant, use a pay station, start a timed bay, or purchase detailing by appointment. List the wash controller, pay-station manufacturer, installed readers, network connection, and current processor. For unattended systems, request confirmation from the equipment and payment providers before considering a change.
Treat unattended acceptance as an integration project
Verify the supported reader, controller interface, transaction sequence, authorisation and completion behavior, connectivity, environmental requirements, and installation responsibility. Test what happens when a payment is declined, the wash does not start, or the network drops. An ordinary countertop POS is not proof of compatibility with a tunnel gate, timed bay, vacuum, or unattended pay station.
For detailing, test the customer balance
Use an illustrative appointment with an agreed package, an optional service, a deposit if supported, and the final balance. Verify invoice identity, changes, receipt delivery, and refunds. Confirm which platform manages bookings and customer records, and whether any connection to the payment system is native, a third-party application, or a manual workflow.
Review memberships separately
If you sell recurring wash memberships, identify the system that owns membership status and stored payment tokens. Demonstrate enrolment, a failed renewal, a plan change, cancellation, and the access decision at the wash. Ask who handles customer requests, data export, and token portability. A new processor does not automatically migrate memberships or stored credentials.
Reconcile each lane, bay, and payment channel
Compare transactions, refunds, membership collections, fees, and bank deposits for the same period. Separate attended payments from unattended acceptance and recurring billing. Request the complete fee schedule, software and connectivity charges, equipment obligations, cancellation terms, and maintenance responsibilities. Approval and pricing depend on the provider and operation.
Make compatibility the first acceptance test
Send the equipment model and current software name with your enquiry. Confirm feasibility before ordering hardware or cancelling the existing account. Agree a test window, installation owner, fallback procedure, and final acceptance checklist. Hardware, installation, and third-party integrations are separately quoted; no universal car-wash integration is promised.
Specialised providers publish unattended car-wash payment systems. This is a technical reference, not a claim that Process Rite supplies that provider or can integrate with every wash. The equipment and payment partners must confirm your specific configuration.

Test the exception, not just the successful purchase
For an unattended or integrated operation, agree a safe test procedure with the equipment vendor. Demonstrate the approved sale-to-service flow and ask what happens if the payment is approved but the equipment does not start. Verify which system records the exception and who can approve a refund or repeat service.
Also test the documented response to a controller or network outage. Employees need to know how to stop further failed purchases, help the customer and reconcile the records after recovery. Do not assume a payment terminal’s offline feature will keep the wash equipment or membership access working.
| Scenario | Evidence to request |
|---|---|
| Card approved; service does not begin | Exception record, customer resolution and refund authority |
| Wash starts; payment result is unclear | Approved reconciliation and escalation procedure |
| Membership payment fails | Billing status, supported retry policy and access behaviour |
| Customer requests cancellation | Authorised workflow, confirmation and future-billing result |
| Network or equipment outage | Supported fallback, stop-sale procedure and recovery checks |
Keep membership billing and access aligned
Confirm which system is authoritative for the membership and which system decides whether the vehicle can enter. Demonstrate a new enrolment, a successful renewal, a failed renewal, a plan change and a cancellation using the vendor’s test method. Check how each event appears to staff and the customer.
Obtain the provider’s requirements for customer authorisation, notices, cancellation and secure storage. Do not invent a membership policy from a POS setting. Have the responsible adviser review the terms for your actual programme and market.
When switching systems, ask whether membership records and payment credentials can migrate through an approved provider-managed process. A customer CSV is not a substitute for a supported transfer of recurring-payment authorisations.
Compare the complete installation and operating cost
Separate processing-account charges from controller or pay-station costs, installation, network work, memberships, software subscriptions, device connectivity and maintenance. List any required third-party application and its billing owner. Ask which parts of the proposed setup can be kept if the processing relationship changes.
Use actual card volume, transaction count and payment channels in the comparison. Identify attended purchases, unattended purchases and recurring activity separately when their pricing differs. Review agreement length, equipment ownership, replacement obligations and cancellation terms alongside the rate.
For an arithmetic example, see our processing-cost comparison. It uses fictional numbers to show the calculation; it is not a car-wash quote.
