Merchant Workflow Documentation

These workflow documents show how a payment or POS decision moves through people, devices, systems, exceptions and controls. They are operating references, not product advertisements.

Pair these with the deployment process and checklists.

How to use the workflow library

Start with the workflow closest to the merchant’s actual transaction. Trace who begins the order or invoice, which device records it, where payment occurs, how receipts and settlement are handled, and who owns exceptions. The useful output is a documented operating path—not a device preference.

Controls to document before selecting a POS

  • Roles and permissions for sales, refunds, voids, discounts and closeout
  • Connectivity, printing, routing and offline procedures at the actual site
  • Handoffs among counter staff, kitchen teams, managers and bookkeepers
  • Reconciliation for deposits, tips, taxes, fees and adjustments
  • Escalation ownership when hardware, software or processing fails

Use these documents during discovery, configuration, training and post-launch review. Record merchant-specific decisions separately so illustrative workflows are never mistaken for verified deployment facts.
