Compare the same business scenario
Use the same card volume, transaction count, card-present/keyed/online mix and proposed equipment quantities for both providers. If a fee or feature is unknown, write “needs confirmation.” Do not compare a provider markup with an all-in rate as if they are equivalent.

Separate recurring and one-time costs
Ask each provider to identify processing charges, monthly account/gateway costs, software/apps, annual fees and equipment obligations. List installation, menu/catalog preparation and training separately. Confirm whether hardware is owned, rented or financed and whether there is a separate agreement.
The processing-cost calculator can normalize known totals. It cannot fill in missing interchange, card mix, exception fees or contractual obligations.
Resolve the differences in writing
Record what each proposal excludes, who owns setup and support, and any conditions affecting funding or equipment use. If one proposal promises an integration, confirm the exact device, plan, app and provider route. Estimated savings and feature lists are not acceptance tests.
