A functioning register does not prove that the buyer’s merchant account, equipment, apps and settlement arrangements are ready. Use this checklist to identify what needs written confirmation before trading.

Eight checks before the buyer takes payments

Identify the existing providersRecord the processor, POS provider, equipment models, support contacts and any equipment agreements. Keep account identifiers off public forms.Verify ownership and device eligibilityConfirm what hardware is included, who owns it, any lease/finance obligations and the responsible provider’s process for this exact device and account change.Assign the merchant-account transitionName who submits the buyer application, confirms approval/activation and agrees the seller-account cutoff. Do not assume the seller’s merchant account can simply be used by the buyer.Inventory data, access and appsList menu/catalog, reports, printers, online ordering, gift cards and loyalty. Confirm transfer/export rights and lawful access; use proper invitations or ownership changes rather than sharing passwords.Resolve balances and liabilitiesHave the appropriate advisers document pre-closing refunds, disputes, deposits, gift cards and final settlement responsibilities.Confirm network and order channelsIdentify internet service, router ownership, tested network drops, guest Wi-Fi separation and website/delivery connections.Test before the handoverUse provider-approved procedures for payment, receipt, void/refund, tax/tip, permissions, print routing and closeout checks. Record unresolved items and their owners.Agree support and fallbackDocument who handles processor/account issues, POS setup, networks and third-party apps. Get an approved fallback and written readiness confirmation before trading.

If Clover equipment is included

Clover’s published FAQ describes an ownership-change route when staying with the previous owner’s merchant-services provider. Ask that provider to confirm the process and eligibility for the exact equipment. Do not assume a used Clover device can be moved to any account or processor.

Use a short handover record

For each unresolved item, write down the evidence needed, the person responsible and the target date. The printable PDF has space for those notes. A broker can coordinate the handover, but account approval, contractual responsibility and implementation acceptance remain with the relevant parties.
