PROCESS RITE · CHANGEOVER PLAN

Switch Credit Card Processors Without Losing the Operating Details

Set the acceptance tests, preserve the records and confirm the exit terms before scheduling the change. New equipment arriving is one milestone, not the end of the transition.

Separate the processing account from the systems around it

List the payment processor, acquiring relationship, POS software, gateway, ecommerce platform, ordering applications, gift-card provider, accounting connection and equipment ownership. A single sales representative may have arranged several of these, but they can have different contracts, cancellation processes and support teams.

Record who owns each task during the switch. The owner approves the commercial terms; the provider confirms provisioning and payment configuration; the software vendor confirms supported connections; staff test the everyday workflow. Assign one person to coordinate the cutover and track unresolved questions.

Check the exit obligations before choosing a date

  • Identify the agreement end date, renewal terms, required notice and cancellation method.
  • Check equipment leases, financing and return obligations independently of the processing account.
  • Ask how final billing, remaining disputes, refunds and report access work after account closure.
  • Confirm whether a gateway, software subscription or application needs its own cancellation.
  • Obtain written acknowledgement of the agreed changes and retain the relevant correspondence.

A provider’s approval of a new account does not cancel the old one. Do not rely on a verbal promise that every existing obligation will disappear when the new terminal starts working.

Confirm hardware and data portability

Do not assume an existing terminal can be reprogrammed for a different provider. Clover®’s official existing-system FAQs state that its POS devices cannot be used with other payment processors. Confirm the exact account and provisioning relationship before buying replacement hardware or relying on a used device.

Data portability is a separate question. Ask which products, modifiers, customer records, reports, balances and settings can be exported and imported, in what format, and by whom. Require an explicit plan for items that cannot transfer. A product list imported successfully does not prove that gift cards, loyalty balances or historical receipts have moved.

Use approved secure transfer methods and authorised staff access. Preserve required records before access changes. Do not copy payment-card credentials or other restricted data into spreadsheets to make a transition easier.

A go-live test for three common North Jersey businesses

Bagel shop or restaurant

Enter a real menu item with modifiers, change the order, check preparation routing, complete a supported payment and inspect the receipt. Test the supported refund or void and verify how tips and later adjustments appear in reports.

Retail store or repair shop

For retail, test a barcode sale, return and stock adjustment. For a repair shop, test a payment against an invoice and confirm the remaining balance in the system that owns the job. Demonstrate the actual integration rather than assuming matching customer names will reconcile it.

Use the provider’s approved test procedure. Record the result and the person responsible for resolving each failure. Do not write “passed” for a workflow that was only described in a sales presentation.

Use four cutover gates

  1. Ready to configure: account approval, written pricing, confirmed equipment and identified software connections.
  2. Ready to train: catalogue or menu loaded, employee roles configured, receipts checked and ordinary plus exception workflows demonstrated.
  3. Ready to operate: network and supported fallback tested, staff briefed, support contacts available and unresolved critical issues closed.
  4. Ready to retire the old setup: initial processing activity and deposits reconciled, retained records checked, outstanding obligations understood and cancellation instructions confirmed.

Agree the overlap period in advance. Keeping two accounts indefinitely can create avoidable costs; cancelling too early can interrupt refunds, reporting or service. The appropriate timing depends on the contracts and operating requirements.

What to reconcile after the first trading day

Compare POS or invoice activity with processor batches and the resulting bank deposits. Keep cash, tips, refunds, fees and third-party payouts distinct. Document expected timing differences, then investigate unexplained amounts with the responsible provider.

Inspect the first complete statement as well. Check that the billed pricing model, recurring fees and software subscriptions match the written proposal. Save the acceptance checklist with the agreement so a later employee can understand the setup.

Request a payments consultation

Hardware, software, installation and processing services must each be identified in the written proposal. Rates, underwriting and supported configurations depend on the provider and account.
