Roll out the next location with a plan you can repeat.
Define accounts, menu or inventory ownership, staff access and reporting before copying a POS setup across stores. Start with a pilot, document what passed and assign the next location only when it is ready.
Plan My Multi-Location RolloutFor a second site, phased replacement or a group with mixed systems.
A second location adds more than another register.
Two shops can share a brand while operating with different legal entities, provider arrangements, menus, taxes, staff roles or ordering channels. Do not copy those differences away. Decide what must be consistent and document the exceptions before provisioning or importing anything.
Process Rite scopes the payment and POS work around the actual operating model. Provider approval controls account structure and equipment eligibility. Your accountant or legal adviser confirms entity and tax decisions. The rollout plan coordinates those decisions with configuration, training, testing and reporting.

Tell us how many locations are involved, their towns, current systems and target timing. Identify separate entities and the reporting or menu-control problem. Keep merchant IDs, bank details and credentials out of the form.
Separate account structure from operating visibility.
| Decision | Confirm before setup |
|---|---|
| Provider and accounts | Which entity operates each location, what account structure the provider permits and who is authorized to make changes. Never assume one merchant account can be reused everywhere. |
| Devices and software | Models, generations, ownership, plans, app subscriptions and supported features at each site. Existing hardware does not prove compatibility with a different provider. |
| Menu or catalog ownership | Who creates the master data, who approves changes and which prices, availability or tax settings are local exceptions. |
| Staff roles | Who can sell, correct transactions, change items and view location or group reports. Confirm access with the intended roles. |
| Reporting | Which sales and location views are supported, how refunds and closeout are recorded and how accounting reconciles each deposit. |
Use a location matrix before requesting a complete quote.
Prepare one row per site: town, legal operator, current provider/POS, checkout count, printers or other accessories, menu/catalog owner, network contact, ordering channels and target date. Mark each item confirmed, assumed or waiting for an answer.
Identify the shared requirements separately: item naming, reporting categories, manager permissions, opening/closing routine and support escalation. A chain-wide catalog change and a store-specific out-of-stock item need different rules. Demonstrate those rules on the proposed plan or app rather than promising universal synchronization.
A useful quote separates processing, software/apps, equipment and implementation for each location. It should also identify recurring group tools, site-specific charges and the support responsibility after rollout. Use the complete-quote worksheet to compare equivalent scope.
Pilot once, then release sites against the same checks.
- Select a representative site: include the actual menu/catalog complexity and ordering channels. Record anything the pilot does not cover.
- Confirm readiness: provider requirements, equipment, connectivity, permitted source data and the staff who will approve the setup.
- Configure deliberately: apply the agreed master rules and documented local exceptions. Record the software and app versions or plans used.
- Run acceptance cases: test a normal order, a modifier or variant, an authorized correction, receipt/printer output, supported online handoff and closeout using provider-approved payment procedures.
- Verify the management view: check what each role sees, whether location attribution is correct and how reports connect to deposit reconciliation.
- Approve the pilot: assign each unresolved issue an owner and decision. Do not roll a known critical failure into every other shop.
- Schedule the remaining sites: use the same readiness and acceptance checks, record local exceptions and name the go-live approver for each location.
Keep inventory, reporting and gift-card questions distinct.
A consolidated sales report is not proof of shared inventory, cross-location returns or a group-wide gift-card balance. Each capability can depend on the account arrangement, software plan, app and configuration. Write down the actual behavior you need and request a demonstration.
For inventory, confirm item identifiers, stock ownership, transfers and adjustments. For reporting, confirm location filters, time periods, exports and access. For gift cards or customer records, confirm the vendor’s supported scope, permissions, existing obligations and migration rules before making any commitment. Do not send customer lists or sensitive account records in the enquiry.
The official Clover reporting overview describes reporting across locations. Confirm availability and the required configuration directly; it does not establish that every related inventory or customer feature is included.
Define support after the final site goes live.
Leave each manager with the approved opening/closing steps, named contacts and an issue log. Separate provider/payment questions, hardware faults, third-party app behavior and local internet problems. An escalation route should say who receives the issue and what information they need.
Review the first closeout and deposit at each site, confirm subscription charges and inspect the reports the owner actually uses. Keep historical reporting and permitted exports available through the agreed retention process. Training, travel, network work, data preparation and ongoing support must be included in the written scope or clearly excluded.
For a specific Square-to-Clover transition, use the migration rollout guide. This service page covers the broader planning request for new and existing locations, including mixed starting systems.
Questions before the rollout
Can every location use one merchant account?
Do not assume that. The provider must confirm the permitted structure for the legal operators and locations involved.
Can we copy the existing Clover devices and menu?
Confirm device eligibility, ownership and the supported data/configuration route. Copy only authorized data and preserve intentional local differences.
Is centralized inventory included?
Only if the selected plan/app and configuration support the required behavior. Ask to demonstrate the actual stock, transfer and reporting tasks.
Will every store switch on the same day?
Timing is agreed after review. A pilot and phased schedule can expose issues earlier; no universal completion time or zero-downtime guarantee is made.
What should I send first?
A location count, towns, current systems, target dates and the operational question. Keep merchant IDs, bank details, login credentials and customer records out of the lead form.
Start with the location list and the decisions still open.
